This Privacy Policy explains how Onyx Box Co. LLC (“Onyx Box Co.,” “we,” “us,” or “our”) collects, uses, and protects personal information when you visit our website, contact us, or rent our reusable moving crates and equipment. We serve the Portland metro area in Oregon. This policy describes our practices; it does not replace any consent required by law.

Information we collect

Information you provide: Your name, email address, phone number, delivery and collection addresses, rental package, requested dates, access instructions, messages, and other details you choose to send. Please do not include sensitive information or payment-card details in contact forms or delivery notes.

Booking and payment records: Reservation status, charges, payment confirmation and transaction identifiers, rental-term acceptance and its date and time, and service communications. Stripe collects payment details directly through its secure checkout. Our website does not receive or store your full card number or card security code.

Technical information: Our hosting and service providers may process your IP address, browser and device information, requested pages, timestamps, and security or error logs to deliver and protect the website.

How we use information

We use information to respond to inquiries and provide quotes; check availability and manage reservations; schedule deliveries and collections; process payments; send confirmations and service reminders; provide customer support; maintain business records; prevent fraud and misuse; troubleshoot the website; and meet legal obligations.

We do not sell personal information or share it for cross-context behavioral advertising.

Cookies, analytics, and external services

Our website currently does not use Google Analytics, advertising trackers, or a cookie-consent banner. The private owner dashboard uses a session cookie to keep authorized staff signed in.

Cloudflare, Stripe, and other providers may use cookies or similar technologies needed for security, fraud prevention, and their services. Your browser settings let you manage cookies; blocking necessary cookies may affect functionality.

We load fonts from Google Fonts, which causes your browser to connect to Google. Contact-form submissions are sent through FormSubmit. Those services process the information needed to deliver their functionality.

How we share information

We share information only as needed to operate our business, provide services, and meet legal obligations. Our current providers include:

Cloudflare: Website hosting, delivery, security, and storage of reservation records.

Stripe: Secure payment processing, payment status, and fraud prevention.

Google Workspace: Business email, customer communications, delivery and collection calendar events, and business documents.

Google Fonts: Delivery of website fonts.

FormSubmit: Processing contact-form submissions and delivering them to our business inbox.

Authorized personnel and service providers assisting with deliveries, collections, support, or professional services may access information necessary for their work.

We may also disclose information when legally required or reasonably necessary to protect rights, safety, or property. If our business is sold or reorganized, relevant records may be transferred subject to applicable law and appropriate safeguards.

Third-party services handle information under their own privacy policies as well as applicable agreements with us.

Data retention

We retain information for as long as reasonably needed to fulfill rentals, provide support, maintain accounting and transaction records, resolve disputes, prevent fraud, and comply with legal requirements. Retention depends on the type of record and the purpose for keeping it. When information is no longer needed, we delete or de-identify it, subject to applicable requirements and backup retention cycles.

Security

We use reasonable administrative and technical safeguards to protect information, including encrypted website connections and restricted access to business systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your choices and privacy requests

Contact team@onyxboxco.com to request access to, correction of, or deletion of your personal information, or to ask questions about how it is used. Depending on applicable law, you may also have rights to obtain a copy of your data, learn about disclosures, withdraw consent where processing relies on consent, or appeal a decision on your request.

We may need to verify your identity before acting. Some information must be retained for legal obligations, transaction records, or other permitted purposes. We will respond as required by applicable law and explain any limitations. To ask us to review a declined request, reply to our response or email us with “Privacy appeal” in the subject line. We will not discriminate against you for exercising applicable privacy rights.

You may choose not to provide optional information. Information needed to fulfill a rental is required to provide that service.

Children’s privacy

Our website and rental services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information, contact us so we can review and address it.

Changes to this policy

We may update this policy as our services or practices change. We will post the updated policy with a new effective date and provide additional notice or obtain consent when required by law.
